Privacy Policy
Yarra Plenty Regional Library Service
YPRL collects only that information which is required to
carry out its business. Information about users is collected
in order to inform users of items being held for them, and
to facilitate the collection of items which have not been
returned.
If address details are not provided users may not borrow
materials.
Users are able to check some information details on-line,
such as current loans, bills and items requested. Any other
details can be obtained via a request directed to the CEO.
YPRL does not disclose, or use personnel or user information
for any purposes other than those specified in the Act. The
purposes under which information could be disclosed is generally
related to illegal activities, as specified in the Victorian
Information Privacy Act 2000. Should information be disclosed,
such disclosures are kept in writing by the CEO.
On occasion, it is necessary to pass information onto debt
recovery agencies in order to assist in the collection of
long overdue items. Any agency used must comply with the Federal
or State Privacy Principles, and must not use this information
for any other purpose. Users are informed before any information
is passed onto a recovery agency
Information on both users, and personnel is kept up to date
as far as possible.
Users are asked for address, telephone and e-mail address
confirmation on an bi-annual basis.
Users records are deleted from the computer system, and paper
copies discarded approximately three years after the last
use of the user card, or number.
All user information is kept on a secure computer system.
User records are accessible to library staff and the user
only. Library procedures prohibit the release of any information
about an individual except to that individual. The exception
to this is the release of a minor's details to the guarantor
for that minor.
All paper base information relating users is disposed via
security bins or shredded when no longer required
The Privacy Policy will be available on the Service's website,
and will be posted or faxed to inquirers upon request. This
policy includes information on what sort of information is
held, for what purposes, and how that information is collected,
held, used and disclosed.
Any individual user (upon the production of sufficient identification)
may request a copy of all information held about them. User
requests are passed onto the CEO or Customer Services manager.
Should any of the information being held be incorrect, this
will be corrected. There are no charges for any personal information.
In order to provide for the efficient management of library
materials, it is necessary to assign a unique identifier to
each library user. Such identifiers are not sourced from or
shared with any other organization.
Wherever possible library users are not required to identify
themselves. Identification by means of a library card is required
to borrow materials.
No information about users is transmitted to anyone outside
of Victoria, except as specified above (in connection with
long overdue items), and as required under the Information
Privacy Act.
No sensitive information as defined by the Act is held by
the Service.
